The Classy App ("we," "us," or "our") operates an AI-powered front desk platform for medical spas and aesthetic clinics. This Privacy Policy explains how we collect, use, disclose, and protect personal information when you use our platform, website (theclassyapp.com), or services (collectively, the "Services").

By accessing or using our Services, you agree to the collection and use of information in accordance with this policy. If you do not agree, please do not use our Services.


1. Who We Are

The Classy App is an AI automation agency headquartered in Dallas, Texas. We provide AI voice receptionist systems, appointment booking automation, lead capture, and SMS follow-up services to medical spa businesses ("Clients"). End users who interact with our AI systems on behalf of our Clients ("Callers") are also subject to this policy.

2. Information We Collect

2.1 Information from Callers (End Users)

When a person calls a phone number powered by The Classy App AI receptionist, we may collect:

  • Full name

  • Phone number (caller ID and verbally provided)

  • Service interest (e.g. Botox, laser treatment, fillers)

  • Preferred appointment date and time

  • Call recordings and transcriptions

  • General geographic location (area code level)

This information is collected for the sole purpose of booking appointments and delivering services on behalf of our Client (the medical spa).

2.2 Information from Clients (Business Customers)

When a medical spa or aesthetic clinic signs up to use our platform, we collect:

  • Business name, address, phone number, and email

  • Owner or authorized representative name

  • Billing and payment information (processed securely via Stripe — we do not store card details)

  • GoHighLevel CRM data including contacts, appointments, and automation logs

  • Login credentials for the platform dashboard

2.3 Information Collected Automatically

When you visit theclassyapp.com or use our dashboard, we may automatically collect:

  • IP address and approximate location

  • Browser type, device type, and operating system

  • Pages visited, time on site, and referring URLs

  • Cookies and similar tracking technologies (see Section 7)


3. How We Use Your Information

We use the information we collect to:

  • Answer inbound calls and book appointments on behalf of our Clients

  • Send SMS appointment confirmations, reminders, and follow-up messages

  • Populate and manage Client CRM dashboards in GoHighLevel

  • Process payments for our Services

  • Provide customer support to Clients

  • Improve the accuracy and performance of our AI voice systems

  • Send transactional and service-related communications

  • Comply with legal obligations

  • Detect and prevent fraud or unauthorized use of our platform

We do not sell personal information to third parties. We do not use Caller data for advertising purposes.


4. How We Share Your Information

4.1 With Our Clients

Caller information collected through the AI receptionist is shared directly with the Client (the medical spa) on whose behalf the call was answered. Clients receive this data through their GoHighLevel CRM dashboard and are independently responsible for how they handle it.

4.2 With Service Providers

We share data with trusted third-party providers who help us operate our Services:

  • Retell AI — AI voice agent infrastructure (call processing and transcription)

  • Twilio — phone number provisioning and SMS delivery

  • GoHighLevel — CRM, calendar, and automation platform

  • Zapier — workflow automation between platforms

  • Stripe — payment processing

  • Render.com — backend server hosting

  • Netlify — frontend platform hosting

All service providers are contractually required to protect your data and use it only for the purposes we specify.

4.3 Legal Requirements

We may disclose information if required to do so by law, court order, or governmental authority, or if we believe disclosure is necessary to protect the rights, property, or safety of The Classy App, our Clients, or others.

4.4 Business Transfers

If The Classy App is acquired, merges with another company, or transfers its assets, personal information may be transferred as part of that transaction. We will notify affected parties via email or prominent notice on our website.


5. Call Recording and AI Processing

Our AI voice receptionist system processes inbound phone calls in real time. By calling a phone number operated by The Classy App on behalf of a Client, you consent to:

  • Your call being answered and processed by an AI system

  • Your call being recorded for quality assurance and service delivery purposes

  • The transcription of your call for appointment booking and CRM entry

Callers are notified that they are speaking with an AI receptionist at the start of each call. If a caller directly asks whether they are speaking with a human or an AI, our system will truthfully disclose that it is an AI.

Call recordings are retained for up to 90 days and then permanently deleted unless a Client requests earlier deletion or extended retention for legitimate business purposes.


6. SMS Communications

By providing a phone number through our AI receptionist or booking system, you consent to receive SMS messages including:

  • Appointment confirmation messages

  • Appointment reminder messages

  • Rebooking and follow-up messages

  • Review request messages

All SMS messages will include an opt-out option. Reply STOP at any time to unsubscribe from messages from a specific Client. Standard message and data rates may apply.

We do not send marketing or promotional SMS messages to Callers without explicit consent.


7. Cookies and Tracking

Our website (theclassyapp.com) and client dashboard use cookies and similar technologies to:

  • Keep you logged into the platform dashboard

  • Remember your preferences and settings

  • Analyze website traffic and usage patterns

  • Improve platform performance

You can control cookie settings through your browser. Disabling cookies may affect the functionality of the platform dashboard. We do not use cookies to track Callers across third-party websites.


8. Data Retention

We retain personal information for as long as necessary to provide our Services and comply with legal obligations:

  • Caller information (name, phone, appointment data): retained for the duration of the Client relationship plus 12 months

  • Call recordings: retained for 90 days then deleted

  • Client account information: retained for the duration of the subscription plus 3 years for billing and tax records

  • SMS message logs: retained for 12 months

  • Website analytics data: retained for 24 months

Clients may request earlier deletion of their data and their Callers' data by contacting us at hello@theclassyapp.com.


9. Data Security

We implement industry-standard security measures to protect your information:

  • All data transmitted between your browser and our servers is encrypted using TLS 1.2 or 1.3

  • API keys and credentials are stored as encrypted environment variables, never in source code

  • Access to Client dashboards is protected by PIN authentication and unique client tokens

  • Our backend server is hosted on Render.com with restricted access controls

  • We conduct regular reviews of our data handling practices

No method of transmission over the internet or electronic storage is 100% secure. While we strive to protect your information, we cannot guarantee absolute security. In the event of a data breach that affects your rights, we will notify affected parties within 72 hours of becoming aware of the breach.


10. Your Rights

10.1 For Callers

If you have interacted with a medical spa using our AI receptionist, you have the right to:

  • Know what personal information was collected about you

  • Request a copy of your personal information

  • Request correction of inaccurate information

  • Request deletion of your personal information

  • Opt out of SMS communications at any time by replying STOP

To exercise these rights, contact us at hello@theclassyapp.com or contact the medical spa directly. We will respond within 30 days.

10.2 For Clients

As a Client, you have the right to:

  • Access and export all data associated with your sub-account

  • Request correction or deletion of your account data

  • Terminate your account and request deletion of all associated data

  • Receive a copy of the data we hold about your business

10.3 California Residents (CCPA)

If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA), including the right to know, the right to delete, and the right to opt out of the sale of personal information. 10.4 Texas Residents

Texas residents may have additional rights under the Texas Data Privacy and Security Act (TDPSA). To submit a data rights request, contact us at hello@theclassyapp.com.


11. Children's Privacy

Our Services are not directed to individuals under the age of 18. We do not knowingly collect personal information from children under 18. If we become aware that a child under 18 has provided us with personal information, we will delete it immediately. If you believe we have inadvertently collected information from a minor, please contact us at hello@theclassyapp.com.


12. Third-Party Links

Our website and platform may contain links to third-party websites including GoHighLevel, Retell AI, Twilio, and others. This Privacy Policy does not apply to those third-party sites. We encourage you to review the privacy policies of any third-party services you use in connection with our platform.


13. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors. When we make material changes, we will:

  • Update the "Last Updated" date at the top of this policy

  • Notify Clients via email at least 14 days before changes take effect

  • Post a prominent notice on our website

Your continued use of our Services after the effective date of any changes constitutes your acceptance of the updated policy.
